    How to add a booking

    Learn the process of adding a new booking in Indecab.

    You can start entering bookings once you have entered all the required information in the Master's section.

    Adding a new booking is very simple with Indecab.

    Go to the Duties tab and click on Add Booking.

    Once the Add Booking page opens, you will see the following fields to enter the booking information.

    1: Create booking for:

    On the right-hand side, you can select your company/sister company under which the booking has to be made. This option will only appear when you have created multiple companies. In case you need to change the company under which the booking has to be made, click on change and select the company from the pop-up box.

    The SMS/Email, duty slip, and invoice will include the company details of the company selected.

    2: Customer:

    Select the customer you want to create the booking for. In case the booking you are entering is for a new retail or walk-in customer, you can select Walk In from the drop-down menu. Otherwise, select the corporate entity for which you would like to enter the booking.

    In case you want to add this customer to your customer masters, you can click on Add New Customer and enter the required details.

    The customer name can be changed while generating an invoice if needed.

    3: Booked By/Passenger Details:

    Use this section to enter the customer's details. Booked by is the representative of the customer who has sent you the booking. Passenger is the person who will be using your services.

    You can add additional contacts to the booking as well as additional passengers. The information entered here will be used while sending booking related information like booking confirmation SMS and email.

    4 - From and to city: Next, select the From city of the booking. If you are entering a local booking there is no need to select a To city. However, if you are entering an outstation booking, entering a To city is mandatory. If you cannot find the city in the To list, select Outstation from the To city drop down list.

    5: Vehicle Group: Next, select the vehicle group of the booking.

    6: Duty Type: Select the duty type or package for which you are creating this booking.

    7: Start and End Date: Select the start and end date of the booking. If you are creating a booking for a single day duty, you can select the same date in the start and end date.

    8: Reporting time & Est. Drop Time: Enter the time at which the driver is expected to pick up and drop the passenger.

    9: Start from garage before (in mins): Enter a time at which driver has to start towards the reporting address, example if reporting time is 13:00 hrs then driver has to start from garage 60 mins before.

    10: Reporting and Drop Address: Enter the reporting and drop address. You can also use the additional option to add a short address which is displayed at the time of duty listing. Apart from that, there is a field to enter the flight/ train number in case of additional information. Automatic calculation of garage to garage calculation will take place from the dispatch centre you select.

    11: Short Reporting address: Enter a short reporting address here. This will be visible in the duty listing.

    12: Flight/Train Number: If this is an airport or train station pick up or drop, you will need to enter the flight/train details here.

    13: Dispatch center: Select a garage or dispatch center here. This will be used for garage to garage calculation.

    14: Bill To: This is used for billing purposes.

    15 : Pricing: Clicking on Get price will pull the pricing entered in the Customer Masters. Alternatively, you can enter pricing manually here.

    16: Remarks: This section can be used to add any additional information that should be visible throughout the booking cycle and can be sent to the driver and customer.

    17: Operator notes: This section can be used to add any additional information that is visible to the internal team only.

    17: Add separate remarks for Driver/Supplier: Select this option if you wish to add separate remarks for the driver, supplier or a DCO.

    18: Booking attachments: Select a file that should be attached to the booking. This will be sent via email.

    19: Labels: Select any labels you would like to add for this booking.

    20: Mark as unconfirmed: This can be used when any information about the booking is unknown. Duties and bookings can be marked as Confirmed whenever needed.

    Once you have entered the booking details, click on Book, to add the booking.

    Once you click on Book, a booking confirmation pop-up will open. You will be able to send booking confirmation via SMS/Email/WhatsApp to your customer/booked by/passenger through this window.

    A new booking will also be visible in the Duties - Booked section

    If you wish to make any changes to a booking, you can do so with a single click

    Click on a duty listing and open the duty - click on the top right EDIT button - make the necessary changes - once you are done editing, click on Book to save the booking.
